What is PIM? Product information management, explained.

What a PIM system does, how it differs from an ERP or a spreadsheet, the signs your business needs one, and how to choose the right PIM software.

What PIM means

PIM stands for product information management. A PIM system is the single place where a business keeps everything it knows about its products: names, descriptions, specifications, attributes, prices, images, documents and the extra fields each sales channel asks for. Instead of copying that information between spreadsheets, websites and marketplaces, you keep one master record and send it wherever it is needed.

What a PIM system does

A good PIM does five jobs:

  • Collects product data from suppliers, spreadsheets, datasheets and other systems.
  • Structures it into a consistent model: categories, product types and attributes with agreed units and allowed values.
  • Enriches it with descriptions, images, translations and documents. Modern PIMs, such as ePIM PXM, use AI for much of this, with people approving the result.
  • Checks it against the rules of each channel and the law, so gaps are found before a listing is rejected.
  • Publishes it to websites, marketplaces, distributors and print.

Most businesses keep their ERP for transactions and add a PIM for product content. The two work side by side.

Seven signs you need a PIM

  1. Your product data lives in several spreadsheets, and nobody is sure which one is right.
  2. The same facts are typed in again for your website, each marketplace and each distributor.
  3. Listings are rejected by Amazon or Google for missing or invalid attributes.
  4. New ranges wait weeks to go live because the content is not ready.
  5. Customers return products because the description or image was wrong.
  6. You cannot easily show which regulation a product label or field comes from.
  7. Translating your catalogue means sending spreadsheets back and forth.

The benefits of a PIM

  • Faster time to market: products go live when they are ready, not when the typing is finished.
  • Fewer errors and returns: one checked record replaces many copies.
  • More channels, same team: adding a marketplace means mapping fields, not rebuilding data.
  • Compliance you can prove: required fields are tracked against the rules that require them.
  • Better search and conversion: complete attributes power website filters and shopping ads.

How to choose a PIM

Ask every supplier these questions:

  • Does it know my industry? A ready-made data model saves months. ePIM PXM has schemas for 15 industries.
  • How does data get in? Look for Excel templates, AI column mapping and bulk image linking.
  • What does the AI actually do, and who approves it? AI should save time without writing to your catalogue unchecked.
  • Can it check each channel? Readiness scores per channel show what to fix first.
  • Can I choose my AI provider and see the cost?
  • Who supports it? Talk to the people who build it before you sign.

Questions

What does PIM stand for?

Product information management: the software and process for keeping product data complete, accurate and consistent across every channel.

What is the difference between PIM and ERP?

An ERP runs orders, stock and finance. A PIM holds the rich product content that sells: descriptions, specifications, images, documents and channel-specific attributes. Most businesses use both.

Is a PIM only for large companies?

No. Any business that sells more than a few hundred products in more than one place benefits, because the cost of retyping and fixing data grows with every product and channel.

How long does it take to set up a PIM?

With ready-made schemas and AI import, a first range can be loaded and checked in days rather than months. [to confirm: typical onboarding timeline]
